The Administrative Associate provides administrative support for the General Managing Director, Extruded Polystyrene Foamular. This position will have contact with employees at all levels within the company and will frequently interact with senior executive leadership and administrative support. This position’s international nature will require an openness to travel and flexible working hours. We are seeking a high energy and creative professional that will maintain a positive Owens Corning image.

Reports to: General Managing Director, XPS Foamular 

JOB RESPONSIBILITIES

Live the Safety stand, adhere to the safety responsibilities.

  • Demonstrate compliance with a personal safety action plan
  • Adhere to Owens Corning safety policies at all times

Provides administrative support for the General Managing Director, XPS Foamular

  • Provide accurate and efficient maintenance of daily schedules, coordination of meetings, and T&E report processing
  • Anticipate GM needs for meetings and projects being handled during the day and for those taking place during travel
  • Field incoming calls and requests for the GM and organize needed follow-ups or action items
  • Organize travel using creativity and cost-awareness
  • Provide pro-active support to track actions, deadlines and manage documents
  • Prepare reports, presentations and create promotional materials related to the management of the Insulation business
  • Coordinate and schedule interviews internally and externally for open positions. Support the onboarding process of new employees 

Act as a focal point for all general administration matters

  • Maintain office calendar to coordinate work flow and meetings, keeping in mind the constraints of international attendees
  • Coordinate and schedule meetings with senior level internal and external constituents, both domestically and internationally 
  • Open, sort, distribute and prepare replies to incoming correspondence, including faxes and email
  • Coordinate, assemble, and distribute pre-reads for upcoming meetings
  • Focal point for all general administration matters including, but not limited to, meeting requests, supply orders, internal moves, booking conference rooms for large meetings and meeting facilities, updating addresses and distribution lists, etc.


JOB REQUIREMENTS

MINIMUM QUALIFICATIONS:

  • High School diploma required, Associate’s or Bachelor’s Degree preferred.
  • Minimum 5 years’ experience as an Administrative Professional and the demonstrated ability to function at the Executive Administration level
  • Willingness to travel and work a flexible schedule to accommodate global time zones
    • Typical work schedule: Full-time beginning as early as 6AM.  Occasional nights and weekend to accommodate executive travel support.

  • Strong working knowledge of MS Office Suite including Outlook, Excel, PowerPoint, Access and Word
  • Familiarization with critical communication applications, including SharePoint and other emerging digital tools
  • Interacts in a way that builds an environment of teamwork and high performance
  • Is flexible and capable of handling multiple projects and activities at one time, ability to work in a fast-paced environment and meet critical business deadlines
  • Strong business acumen and the ability to craft communications on behalf of Senior Leaders
  • Ability to identify ways the team can operate more efficiently and effectively to achieve desired business results
